These Terms of Service (“Terms”) govern access to and use of ProFlow 360 (“ProFlow,” “Platform,” “we,” “our,” or “us”), including our website, SaaS platform, tenant dashboard, client portal, support services, document management tools, renewal tracking tools, invoice and quotation features, payment-related features, notifications, email tools, and related digital services.
By accessing or using ProFlow 360, you agree to these Terms. If you do not agree, you must not access or use the Platform.
1. About ProFlow 360
ProFlow 360 is a SaaS platform built for PRO service companies, business service providers, and related organisations to manage client companies, employee records, documents, renewals, services, tasks, invoices, quotations, payments, support tickets, notifications, and operational workflows.
The Platform is a software management tool. ProFlow 360 does not itself provide government services, legal advice, immigration advice, tax advice, accounting advice, or official approval services unless expressly agreed in a separate written service agreement.
2. Definitions
For these Terms:
“Account” means a registered user account created to access the Platform.
“Tenant” means a company, organisation, or business entity that subscribes to or uses ProFlow 360 as a workspace.
“Tenant User” means an owner, administrator, manager, employee, accountant, document controller, or other authorised user invited by a Tenant.
“Client Portal User” means a client, customer, or external user who accesses the Platform through a client portal.
“User” means any person accessing or using the Platform.
“Content” means documents, files, data, text, images, logos, records, messages, invoices, quotations, payment records, support tickets, website media, blogs, testimonials, and other materials uploaded or created through the Platform.
“Subscription Plan” means a paid or free plan provided by ProFlow 360, including trial, onboarding, monthly, annual, or enterprise plans.
3. Eligibility and Authority
By using the Platform, you confirm that:
- You are at least 18 years old or legally authorised to use business software.
- You have the authority to accept these Terms on behalf of yourself or the company you represent.
- Any information you provide is accurate, complete, and current.
- You will use the Platform only for lawful business purposes.
If you use ProFlow 360 on behalf of a company, you represent that you have authority to bind that company to these Terms.
4. Account Registration and Security
Users may be required to create an Account or accept an invitation to access the Platform.
You are responsible for:
- Keeping login credentials confidential.
- Using secure passwords.
- Not sharing accounts between multiple people.
- Ensuring only authorised users access your workspace.
- Immediately notifying us or your administrator of suspected unauthorised access.
- Logging out from shared or public devices.
We are not responsible for losses caused by shared credentials, weak passwords, compromised email accounts, unauthorised internal access, or user negligence.
5. Tenant Responsibility
Each Tenant is responsible for managing its own workspace, users, clients, employees, documents, permissions, subscriptions, records, invoices, payments, and data.
Tenants are responsible for:
- Inviting only authorised users.
- Assigning correct roles and permissions.
- Removing users who no longer require access.
- Ensuring client and employee data is uploaded lawfully.
- Verifying the accuracy of documents, records, expiry dates, invoices, and renewal details.
- Complying with applicable laws, regulations, contracts, and privacy obligations.
- Obtaining any required consent or authority before uploading personal or business data.
ProFlow 360 is not responsible for incorrect records, unlawful uploads, missed renewals caused by incorrect data, or unauthorised access caused by Tenant mismanagement.
6. Client Portal Users
Client Portal Users may be invited by Tenants to upload documents, view records, respond to requests, review invoices or quotations, and communicate with the Tenant.
Client Portal Users are responsible for:
- Providing accurate documents and information.
- Uploading only files they are authorised to share.
- Keeping login credentials secure.
- Reviewing requests, invoices, quotations, and communications carefully.
Client Portal access is controlled by the relevant Tenant. ProFlow 360 may not be able to modify or validate Tenant-client relationships unless required by law or agreement.
7. Platform Features
Depending on the Subscription Plan and configuration, the Platform may include:
- Tenant workspace management
- Client company management
- Employee records
- Document storage and versioning
- Document expiry tracking
- Renewal reminders
- Task management
- Services and case workflows
- Invoices and quotations
- Payment links and payment tracking
- Client portal access
- Notifications and email templates
- Support tickets and attachments
- Public website CMS
- Blog and testimonial management
- Subscription and billing management
- Reports and analytics
- Role-based access control
Features may be added, modified, suspended, limited, or removed at any time.
8. No Guarantee of Government Approval or Renewal Outcome
ProFlow 360 helps users organise, track, and manage PRO service workflows. However, we do not guarantee:
- Approval of government applications
- Successful visa, licence, permit, or document renewal
- Acceptance of uploaded documents by any authority
- Processing time by government departments
- Accuracy of third-party or government systems
- Avoidance of fines, penalties, delays, or rejections
- Automatic completion of renewals or legal obligations
Users and Tenants remain responsible for taking timely action and verifying requirements with relevant authorities.
9. Documents, Expiry Dates, and Renewals
The Platform may help track document expiry dates, renewal dates, missing documents, and reminders.
However:
- Renewal reminders depend on accurate user-entered data.
- Users must verify expiry dates and requirements independently.
- Old, expired, renewed, archived, or previous versions of documents may be retained for audit and history.
- Uploading a new document does not automatically cancel legal obligations related to older documents.
- We are not responsible for missed deadlines caused by incorrect data, delayed uploads, ignored reminders, email delivery issues, or user inactivity.
10. User Content and Uploaded Files
Users are responsible for all Content uploaded, submitted, generated, or shared through the Platform.
You confirm that:
- You have the right to upload and use the Content.
- Content does not violate laws, contracts, privacy rights, intellectual property rights, or third-party rights.
- Content is accurate and not misleading.
- Content does not contain viruses, malware, harmful code, or unlawful material.
- Sensitive documents are uploaded only where necessary and authorised.
We may remove or restrict Content if we believe it violates these Terms, applicable law, security requirements, or third-party rights.
11. Public Website CMS, Blogs, Media, and Testimonials
Super Admin users may upload or publish public-facing content such as logos, images, blogs, testimonials, website pages, privacy policies, terms, media files, and Open Graph images.
The user publishing such content is responsible for ensuring:
- They have permission to use all images, logos, names, testimonials, and media.
- Public content is accurate and lawful.
- Content does not infringe copyright, trademarks, privacy, publicity, or other third-party rights.
- Testimonials and reviews are genuine and authorised where required.
ProFlow 360 is not responsible for claims arising from public content uploaded or published by authorised users.
12. Acceptable Use
Users must not:
- Use the Platform for unlawful, fraudulent, harmful, or abusive purposes.
- Attempt to access another Tenant’s workspace or data.
- Bypass security, authentication, role permissions, or access controls.
- Upload malware, viruses, scripts, or harmful files.
- Interfere with system performance, networks, APIs, or infrastructure.
- Reverse engineer, copy, scrape, or misuse the Platform.
- Use automated bots, crawlers, or scraping tools without permission.
- Send spam, phishing messages, or misleading communications.
- Upload illegal, offensive, defamatory, or infringing content.
- Misrepresent identity, authority, company affiliation, or service capability.
- Use the Platform to violate privacy, employment, immigration, tax, or government regulations.
We may suspend or terminate access if we suspect misuse.
13. Subscription Plans, Trials, and Billing
ProFlow 360 may offer free trials, free onboarding plans, monthly plans, annual plans, enterprise plans, or custom pricing.
Unless otherwise stated:
- Subscription fees are billed according to the selected plan.
- Annual plans may include discounts compared to monthly plans.
- Free trials or onboarding periods may expire automatically.
- Continued access after a trial may require an active paid plan.
- Prices may exclude VAT, taxes, gateway fees, or other charges unless clearly stated.
- We may update plan features, limits, prices, or billing terms.
If payment is overdue, failed, reversed, or disputed, we may suspend or restrict access after giving reasonable notice where practical.
14. Payments and Payment Gateways
Payments may be processed through third-party payment providers or other payment methods.
By making a payment, you agree that:
- Payment information may be processed by third-party payment providers.
- We are not responsible for payment gateway downtime, rejection, fraud checks, bank delays, or card issuer decisions.
- Payment confirmation may take time depending on provider processing.
- Subscription activation may depend on successful payment confirmation.
We do not intentionally store full card details unless handled through compliant payment infrastructure.
15. Taxes
Fees may be subject to VAT, sales tax, withholding tax, bank charges, or other applicable taxes.
The Tenant is responsible for paying applicable taxes unless otherwise stated. If tax rules require us to collect VAT or other taxes, such amounts may be added to invoices.
16. Refunds and Cancellations
Refunds, cancellations, and plan changes are subject to the applicable Subscription Plan, invoice terms, or separate written agreement.
Unless required by law or expressly agreed:
- Subscription fees may be non-refundable.
- Setup, onboarding, customisation, migration, and professional service fees may be non-refundable.
- Partial month refunds may not be provided.
- Annual plan refunds may be limited or unavailable after activation.
- Enterprise or custom agreements may have separate cancellation rules.
17. Email, Notifications, and Reminders
The Platform may send emails, reminders, alerts, and notifications for:
- Account invitations
- Document expiry
- Renewals
- Missing documents
- Invoices and quotations
- Payment links
- Support tickets
- Trial expiry
- Subscription billing
- System updates
- Security alerts
We do not guarantee that email, SMS, WhatsApp, or notification delivery will always be instant, successful, or error-free. Delivery may depend on third-party providers, spam filters, email settings, internet connectivity, or user device settings.
18. Support Services
Support may be provided through tickets, email, chat, or other channels depending on the Subscription Plan.
Support does not include, unless separately agreed:
- Legal advice
- Government application filing
- Data entry
- Document verification
- Custom development
- On-site support
- Third-party system troubleshooting
- Training beyond agreed scope
We may prioritise support based on severity, plan level, service availability, and operational capacity.
19. Service Availability
We aim to provide a reliable platform, but we do not guarantee uninterrupted, error-free, or always-available service.
The Platform may be unavailable due to:
- Maintenance
- Updates
- Hosting provider issues
- Database provider issues
- Internet or network disruption
- Third-party service failure
- Security incidents
- Force majeure events
- User-side device or connection issues
We may perform maintenance with or without prior notice where necessary.
20. Data Backup and Recovery
We may maintain backups according to our internal practices, hosting provider capabilities, or contractual commitments.
However:
- Users should not rely on the Platform as the only copy of important documents.
- Tenants are encouraged to maintain independent backups of critical documents and records.
- Backup restoration may not always be immediate or complete.
- Deleted or overwritten data may not always be recoverable.
21. Privacy and Data Protection
Our collection and processing of personal data is described in our Privacy Policy.
By using ProFlow 360, you agree that personal data may be processed according to our Privacy Policy, applicable laws, and any relevant data processing agreement.
Tenants remain responsible for ensuring that client, employee, and third-party personal data is uploaded and processed lawfully.
22. Confidentiality
Users may access confidential business, financial, personal, or operational information through the Platform.
Users must not disclose confidential information except where authorised, legally required, or necessary for legitimate business operations.
ProFlow 360 will take reasonable steps to protect confidential data, but users are responsible for maintaining confidentiality within their own organisations.
23. Intellectual Property
ProFlow 360, including its software, design, interface, workflows, branding, database structure, features, source code, documentation, icons, and platform architecture, belongs to us or our licensors.
Users are granted a limited, non-exclusive, non-transferable right to use the Platform according to these Terms and the applicable Subscription Plan.
Users may not:
- Copy, resell, sublicense, or distribute the Platform.
- Reverse engineer or attempt to extract source code.
- Create competing software using confidential platform information.
- Remove branding, copyright notices, or proprietary notices.
- Use our trademarks without permission.
Users retain ownership of their uploaded Content, subject to the licence required for us to operate the Platform.
24. Licence to Use Uploaded Content
By uploading Content, users grant ProFlow 360 a limited licence to host, store, process, display, transmit, copy, back up, and use the Content only as necessary to provide, secure, support, and improve the Platform.
This licence is limited to platform operation and does not transfer ownership of user Content to us.
25. Third-Party Services and Integrations
The Platform may integrate with or rely on third-party services such as:
- Hosting providers
- Supabase or database providers
- Storage providers
- Email providers
- Payment gateways
- Analytics tools
- Google tools
- Communication tools
- External APIs
Third-party services are governed by their own terms and policies. We are not responsible for third-party downtime, pricing, data practices, errors, API changes, or service discontinuation.
26. Beta Features and Experimental Tools
From time to time, we may release beta, experimental, preview, or early-access features.
Such features may be incomplete, unstable, changed, removed, or unsupported. They are provided “as is” and may not be suitable for production use unless expressly stated.
27. Suspension and Termination
We may suspend or terminate access if:
- Fees are unpaid
- A user violates these Terms
- A security risk is detected
- A tenant misuses the Platform
- Required information is false or incomplete
- The Platform is used unlawfully
- A user attempts unauthorised access
- We are required to do so by law, court order, regulator, or service provider
- Continued access may harm us, users, infrastructure, or third parties
Upon termination, access may be disabled, and data may be retained or deleted according to our retention policy, legal obligations, and contractual terms.
28. Data Export After Termination
Where technically available and subject to payment status, legal restrictions, and security requirements, Tenants may request export of their data after termination.
We may charge reasonable fees for data export, migration support, or custom extraction where the request requires manual work or professional services.
29. Disclaimers
To the maximum extent permitted by law, the Platform is provided on an “as is” and “as available” basis.
We disclaim all warranties, whether express, implied, statutory, or otherwise, including warranties of:
- Fitness for a particular purpose
- Merchantability
- Non-infringement
- Accuracy
- Availability
- Error-free operation
- Suitability for legal, immigration, tax, accounting, or government compliance purposes
Users are responsible for verifying all records, deadlines, documents, and obligations independently.
30. Limitation of Liability
To the maximum extent permitted by applicable law, ProFlow 360 will not be liable for:
- Indirect, incidental, special, consequential, exemplary, or punitive damages
- Lost profits
- Lost revenue
- Lost business opportunities
- Loss of data
- Missed renewal deadlines
- Government penalties or fines
- Rejected applications
- Payment gateway issues
- Third-party service failures
- Unauthorised access caused by user negligence
- Incorrect data entered by users
- Tenant misuse or unauthorised sharing
Where liability cannot be excluded, our total liability shall be limited to the amount paid by the Tenant to ProFlow 360 for the affected service during the three months before the event giving rise to the claim, unless a different limit is required by law or agreed in writing.
31. Indemnification
You agree to indemnify and hold harmless ProFlow 360, its owners, employees, contractors, service providers, and affiliates from claims, damages, losses, liabilities, penalties, costs, and expenses arising from:
- Your use or misuse of the Platform
- Your breach of these Terms
- Content uploaded by you or your users
- Unlawful processing of personal data
- Violation of third-party rights
- Incorrect or misleading records
- Unauthorised sharing of data
- Failure to comply with laws or regulations
- Tenant or user negligence
32. Force Majeure
We are not liable for delay or failure caused by events beyond our reasonable control, including:
- Natural disasters
- War or civil unrest
- Government action
- Internet failures
- Cloud provider outages
- Cyberattacks
- Labour disputes
- Power failures
- Payment gateway outages
- Telecom or hosting disruptions
- Regulatory changes
33. Changes to the Platform
We may modify, improve, update, suspend, remove, or replace any part of the Platform at any time.
We may also change feature limits, user limits, storage limits, workflows, user interface, integrations, pricing, and technical requirements.
Where changes materially affect paid subscriptions, we may provide reasonable notice where practical.
34. Changes to These Terms
We may update these Terms from time to time.
When updated, the “Last Updated” date may be changed. Continued use of the Platform after changes means you accept the updated Terms.
If you do not agree to updated Terms, you must stop using the Platform.
35. Governing Law and Jurisdiction
These Terms shall be governed by the laws of the United Arab Emirates, unless another jurisdiction is stated in a separate written agreement.
Subject to applicable law, disputes shall be submitted to the competent courts of the UAE, unless the parties agree in writing to another dispute resolution process.
36. Notices
We may send notices through:
- Platform notifications
- Tenant dashboard messages
- Website notices
- Support ticket replies
- Billing contacts
Users are responsible for keeping contact information accurate and updated.
37. Severability
If any provision of these Terms is found invalid, illegal, or unenforceable, the remaining provisions remain valid and enforceable.
38. No Waiver
Failure to enforce any provision of these Terms does not constitute a waiver of our rights.
39. Entire Agreement
These Terms, together with the Privacy Policy, Data Processing Agreement, Subscription Plan, invoices, and any separate written agreement, form the entire agreement between the parties regarding use of ProFlow 360.

These Terms should be read together with our Privacy Policy, Data Processing Agreement, and any applicable subscription, invoice, service, or enterprise agreement.
